A Room-and-Number System for Labeling Moving Boxes

Use clear room names, carton numbers and a simple inventory to help your movers place boxes correctly and find important belongings after delivery.

Good labels answer two different questions: where should this carton go, and how will you recognize it later? A room name handles placement. A carton number helps you locate a particular item without opening every box in that room.

Name the destination rooms first

Write a short list of room names for the new home. Use names the crew can identify: “front bedroom,” “upstairs office,” or “garage shelves.” If two bedrooms look alike, place a matching temporary sign on each doorway with the property's permission. An old room name is confusing when the new home has a different layout.

Share the room list with everyone packing. Otherwise “office,” “study” and “spare room” can become three labels for one destination.

Number the cartons without overcomplicating it

Use a simple sequence within each room, such as Kitchen 01, Kitchen 02 and Kitchen 03. Record a brief description beside each number in a notebook or phone file. You do not need to list every spoon; “daily plates and mugs” is enough to find breakfast items. Record valuable or unusual contents more carefully and discuss them with the office.

Keep a copy of the list with you. A list sealed inside one of the cartons cannot help during delivery.

Make labels visible during handling

Write clearly on more than one side and on the top where practical. Color can help, but do not rely on color alone: use words too. Put handling notes where they can be seen. Marking a carton “fragile” tells the crew about its contents; it does not compensate for weak packaging or stop items moving inside.

Separate “open first” from “keep with customer.” The first is delivered with the shipment and needed early. The second travels under your personal control, such as medication, keys or documents.

Use the system at both walkthroughs

Before loading, point out excluded cartons and unusual handling needs to the team leader. At delivery, identify rooms before unloading begins. Review the numbered inventory and any delivery paperwork, recording concerns through the agreed process rather than relying on memory later.

If another person will receive the load, send them the room list in advance. For larger homes in Ponte Vedra or Jacksonville Beach, a dedicated JEM moving coordinator can help keep the placement plan and crew communication organized. Begin with a quote that includes the actual carton count and access details.
